Hi Magaly and all,
I believe we constantly cross each other, so I send below again.
I totally agree that you should speak on the bracketed Gender issues. The
same will go for the IG Caucus which can/will arrange itself. (btw: SC A
will meet already Sunday around 12:15 after a very short Plenary) When
talking about process, we need to give in the names early enough also of
those who are not yet so visible but could have some valid points to make.
The rest below is self explanatory. To explore Sunday morning was just an
attempt to find time when not in negotiations. However, many in the meantime
have agreed to meet at 3pm, bcause not yet available earlier.

Subject: RE: [CS Bureau] Figuring out a time to meet and agenda
CSB Meeting agenda - 13 November
1. Speakers at CS slots at PrepCom-3
2. Self organisation for CS observers at PrepCom-3, overpasses?
3. CS Space issues / Connectivity
4. Media/Press Conference(s)
5. Interpretation
6. Host Country Agreement and immunity issues
As said already last night:
1. We need to have a process to identify speakers to maximise the time
slots, 15min per day, not per session. We have to give in the names as
previously in PrepCom one hour before the meeting. The IG Caucus is of
course well equipped, but there might be other caucuses who want to
contribute. The Follow up Caucus has not been so active. We have to have
speaker names before noon on Sunday. Speakers should only speak on
outstanding issues (brackets),unless supported by many governments for
opening up agreed language.
2. Since for the moment there are no overpasses for PrepCom we need to
have at least a process if there is too much folks to push in.
3. Could become an issue if we need larger rooms for CS (Plenary)
4. To coordinate with Adina on processes, (particular evtl Press
Conference on the 15th)
5. We have no interpretation, not even facilities (except Plenary Hall,
Committee of the Whole room and one or two large rooms) We might on and off
have the possibility to use one of the official ITU Interpretation teams,
when not in use. This means a lot of planning ahead.
6. In relation to political pressure on certain side events explore
intervention and use host country agreement/immunity to maximum. Contact ITU
and New York legal experts for the Summit
7. Philippe is still collecting information whether we might access Kram
on
Sunday morning so we could have an evtl meeting between 10-11 am. Sunday
night will be very late, as some people might be in Hammamet.
Consider: Not all people are constantly on line, now travelling
Best
Renata

As per my earlier message, i forgot to mention that any meeting CSB
plans should...must be coordinated not to coincide with the prepcom
schedule.
Below is the schedule as just posted on the ITU/WSIS site. Knowing
the times, i would call upon those on the bureau to post which times
are best (or not) for them.
Again - an agenda and working virtually in advance of the meeting is
key. I'lll thus be proactive and ask Renate and others to post
details on items that need , not to be discussed, but decided.
thanks
regards,
Robert
