We will also have the teleconference connection that Ralf / Andy proposed.

Based on my reading of this e-mail thread so far, this is what I have
done/propose (we can change/alter/delete any of this):
To support our NA Caucus Meeting at the "Birds of a Feather" Session at
CTCNet on Saturday 12 June, I have set up a meeting using our Centra
Server. This is the easiest tool to use, and requires very low
bandwidth (a dial-up modem is sufficient). We can use, voice, video,
PowerPoint slides, websites, etc. The meeting is scheduled to
accommodate up to 40 simultaneous connections, and people can connect
from anywhere in the world that they have access to the web
(unfortunately, this is the tool that only has a Windows client, and
will work also with Virtual PC). This meeting is scheduled for 5:00 -
6:00 Pacific Time (as indicated on the CTCNet website provided by
Andy).
Based on Ralph's comments, in order to support our combined NA Caucus
(at CTCNet) with the EU Caucus (at Wizards of OS) on Sunday, 13 June, I
have set up a meeting using our Elluminate server. This tool is also
easy to use (it is very similar to Centra), with the primary difference
being that it does not have video (it does have voice, Powerpoint
slides, websites, etc., and it does support Windows, Mac, and Linux
platforms). I did not have the exact time for this meeting, so to
reserve the time I scheduled it all morning PDT on Sunday (13 June) -
we can revise it later with the specific times.
For both of these packages, we can send out links to attend the meeting
in an e-mail, or post the link on a website (though e-mail would
probably be better, since there is limited "seating" for both
meetings). We have done this many times, and when an invitee clicks
on the link in the email, they are automatically taken to the
appropriate site.
We should schedule meetings in advance for our planning teams from both
locations to test the connections and servers. Just let me know when
would be good. I am much more flexible now that the academic semester
has ended for me, but I'll be away from connectivity from 11 - 16 May.
On the other hand, if this is getting too complicated, or doesn't meet
with with the requirements that Ralph expressed regarding Open Source
tools, then I am happy to withdraw the offer, and we can continue
exploring some other route.
