[Privsec] booking meeting rooms at PrepCom3bis?

Shall we have an official meeting at PrepCom3bis and book a room now?
Or see how it is on location and meet in the cafe?
The deadline is Wednesday.

Dear Caucus/WG/Family coordinator,

During the Tunis Summit, Civil Society will have a space at the Kram
Center. In this space we will have several offices, a working space
(with PC, printer and photocopy facilities) and two meetings rooms for
all civil society participants.

If your caucus/family is planning to have a meeting or will need a
working space (office) either during the resumed PrepCom-3 or the Summit
please fill out the forms attached and send it back to us at
wsis at ngocongo.org <mailto:wsis at ngocongo.org> or by fax +41 22 301 2000
no later than Wednesday 9^th November, 2005.

*Please note* that we do not have the confirmation yet if the civil
society space will be available during the resumed PrepCom-3. We hope to
have a confirmation as soon as possible. However let us know if your
caucus will need to book a meeting room or an office for those days.

For your booking take into consideration:

- There are two Meetings Rooms; one has the capacity of 45 seats and it
is equipped with 1 video projector; the second one has the capacity of
35 seats. The rooms will be allocated in *one hour *time slot *(more
than one hour can be booked if needed)*. The working hours is still to
be confirmed, but we think that will be from 8:00 am to 20:00 pm, from
13 – 19 November 2005. There won’t be interpretation facilities in both
rooms.

- 7 Offices (we requested to be equipped with 2 big desks, 4 chairs, 1
PC connected to Internet, 2 additional laptop connections, 1 filing
cabinet of shelving, and 1 local phone) The offices will be allocated in
*two hours time slot* *(more than one time slot can be booked if needed)
*as from 8:00 am to 20:00 pm (working hours also to be confirmed), from
13 – 19 November 2005.
